Statements & Portal FAQ

Beginning with FY08 July, monthly financial statements are no longer printed and delivered to departments.* This page contains answers and resources to assist during this transition period.

*Except for a limited number of  departments that requested printed reports will get the Cognos Revenue and Expense Statement Detail and Financial Statement Summary.

 

Where do I get my reports now that they are no longer printed?

Monthly reports are electronically delivered to the University's MyCU portal, generally on the Monday following the monthly close. The reports are available under the My Reports tab. Boulder's CUConnect portal also contains a link to the myCU Reports channel.

How do I access the portal?

Boulder employees need an IdentiKey to log on to either portal. To get an IdentiKey, go to the CUConnect page and click on the link in the gray box on the upper right labeled Getting Help with CUConnect. The same login ID is used to access both portals. If you use the link from CUConnect to myCU Reports, you do not need to log in to myCU again.

Is there training on how to use the portal for reports?

There are several options.

  • Boulder conducts in-person Statement Trainings that includes navigating the portal, the Reporting System, and reading reports.

  • Kathy Illian at UCDHSC has put together terrific training tutorials. There is a Logging In movie and a Logging In handout. Note that these show logging on to MyCU which is different than logging on to CUConnect. To log on to CUConnect (or MyCU) Boulder employees need an IdentiKey (not campus computer username).

  • The OUC has numerous Step-by-Step guides. Those under the Portals & Reporting System heading pertain to the portal.

What are the portal channels all about?

The first (top) channel University Reporting–Primary displays one of the following for the current month depending on your fiscal role and your speedtypes: If you have an ORG-level fiscal role, you will see a Financial Summary Report. If this is not the case, then the Revenue and Expense Summary Report will be displayed. If there is no R&E Summary for your area, then the Balance Sheet Summary will be shown. If no BS Summary is available, you will see a “No report is Available” message. The report of your most recent SpeedType will be the one displayed.

The second (middle) channel University Reporting–All displays dropdown lists for all reports delivered to you. This is where you get your reports.

The third (bottom) channel University Reporting–My Links links to the Reporting System. If you are an authorized user of the Finance System, select Public Folders to link to on-demand reporting in the Reporting System.

What if I didn't get a report delivered to my portal?

Most likely you do not have a fiscal role on the program, project, or speedtype. You can check on fiscal roles for individual speedtypes in the Finance System > General Ledger > Chartfields > SpeedTypes. Enter the speedtype and then look under the two tabs labeled Add'l SpeedType Attributes and Org/Program/Project Attributes for fiscal role information.

Can I check on fiscal roles for more than one speedtype at a time?

Yes, use PSLite, which can be downloaded from ABS. You can search by employee or by Org or Node. To search by employee, from the PSLite homepage click on the LOOK-UPS button at the top and then fill out the FIND FISCAL ROLES box (include both ID# and position#). To search by Org or Node, from the PSLite homepage click on the ORG TREE button at the top, enter the Node or Org (Org use the bottom line) and under the All Funds column select the FISCAL ROLES report.

Can we have additional employees receive reports?

Currently, reports are only delivered to employees who have fiscal roles identified in the Finance System. However, plans are underway to increase the number of employees who can be assigned to the Fiscal Staff role from the current one (1) to five (5) by the end of calendar year 2007. This will allow departments to have up to an additional 4 employees receive reports delivered to their portal.

Who do I contact to correct the names assigned to fiscal roles?

To change the employee name on a fiscal role assigned to programs send an email to accounting@colorado.edu and include the employee ID# and position #. If the fiscal role is for a sponsored project fund 30 and is for the Fiscal Staff position, send your request again to accounting@colorado.edu. For any other fiscal role on a project, contact bev.baran@colorado.edu, 492-3778 or contact the SPA accountant on the project.

When is the portal updated?

The portal is updated the Monday after each month-end close. If you have a fiscal role, you will receive an email notice from reporting.system@cusys.edu advising that the portal reports are ready.

Can I still run the old PeopleSoft reports?

Yes, for now. Finance System Reporting > Reports > Finance Reports. At some point in the future, the expectation is that these reports will go away.
